Finance/Contracts Manager



Job Description: Reporting to the CEO, this position manages the accounting, contracts and finance needs of the company, including providing information to management by researching and analyzing accounting data, managing contracts and preparing reports. The Finance + Contracts manager ensures that records are accurate, that payroll, taxes, employees and suppliers are paid properly and on time, and that contracts are implemented and maintained. This key individual performs overviews of the financial operations of a business in order to help it run efficiently.



JOB DUTIES

Accounting (AP/AR, P&L):
  • Document Accounts Payable, Accounts Receivable, invoices, bills, monthly reports and allocations, and DCAA compliance utilizing company tools.
  • Summarize current financial status by collecting information: preparing balance sheet, profit and loss statement, and other reports.
  • Retain constant awareness of the company's financial position and act to prevent
  • Prepare, audit and process monthly, quarterly and year-end accounting, including project and company reports.
  • Prepare ICE reports to


Taxes & payroll:

  • Preparing and processing payroll, including
    • Preparing W-2s, 1099s
    • Paying payroll taxes
    • Computing taxes owed, support preparation of tax returns, ensure prompt payment
    • Sending paystubs to employees
    • Unemployment documentation and taxes
    • Administering benefits deductions such as 401K, HSA, and other health insurance-related premiums


Contracts:

  • Review all contracts to ensure
    • Terms and conditions are acceptable
    • Contracts are consistent and accurate to what was agreed upon
    • Negotiated terms are implemented
  • Milestones are met per schedule and invoiced in a timely manner
  • Team is aware of contract requirements and impending milestone deliverables
  • Notify customers of any changes, such as changes in milestone delivery dates or Statement of Work
  • Support proposal preparation
  • Review and set up NDAs with new customers
  • Manage contracts and deliverables in online tools provided by customers


Governance:

  • Ensure adherence to financial laws and guidelines
  • Keep current on the latest laws and regulations
  • FAR/DFARS understanding and implementation


Audit and internal control operations:

  • Support property management and procedures and property audits.
  • Support outside accounting audits
  • Support DCAA and DCMA audits


Purchasing:

  • Support purchasing hardware, materials and equipment for programs as needed


JOB SKILLS

Requirements:
  • BA in Finance, Accounting or other relevant area,
  • A minimum of 5 years experience, master's and PhD degree(s) in related field may be substituted for 2 years of experience per
  • Understanding of government contracts
  • Experience with Quickbooks
  • Strong understanding of Microsoft Office tools, such as Excel,
  • Ability to work independently on assigned tasks as well as to accept direction on given
  • Ability to work collaboratively with the management team as well as the engineering and manufacturing
  • Negotiation and conflict resolution.
